Booking
terms.

1. General terms

Agreement.

These terms apply to all services provided by ATMALAYAR Creative ("ATMALAYAR", "we", "us") to the person or organisation making a booking ("Client", "you").

Services covered.

Photobooth, AtmaLayar Pocket, Pocket Printing, Video Guestbook (including Drop-off), bundles and any other agreed combination.

Acceptance.

By confirming a booking in writing and paying the deposit or full payment after receiving these terms, the Client accepts them.

Booking documents.

The confirmed quotation, invoice, booking details and these terms together form the booking agreement. A specific variation agreed in writing takes priority over the standard term it changes.

Written agreements.

Only what is written in the latest quotation, invoice or a written message from us is included. Anything said in a call or voice note counts only once we confirm it in writing. We keep written records of what was agreed.

Your consumer rights.

Nothing in these terms excludes or limits rights that cannot lawfully be excluded under Malaysian law.

2. Quotations, prices & promotions

Quotation validity.

Quotations are valid for 7 calendar days from the quotation date unless stated otherwise.

Confirmed prices.

Prices are fixed once your booking and payment are accepted. Later price changes do not affect confirmed bookings.

Promotions.

Promotional prices, discounts and complimentary items apply only when their conditions and validity period are met, and cannot be combined unless we confirm in writing. If a booking changes, promotion eligibility may be reassessed.

Revised quotations.

When a quotation is revised (for example QUO 00045-R2), the latest version replaces all earlier ones. Earlier versions cannot be paid or relied on.

Special prices.

A nett price, discount or free item agreed for a booking applies to the scope written in that quotation. If the scope later changes (more hours, more prints, other services), the extra is charged at standard prices, and the special price may be reviewed if payments are not made on time.

Additional charges.

Overtime, transport and other extra charges will be told to you before they are incurred wherever reasonably possible. All prices are in Malaysian Ringgit (RM).

3. Booking confirmation & deposit

Securing a date.

A date is secured only once we have your booking details, have accepted the booking and have received the deposit (or full payment). Enquiries and quotations do not hold a date.

Paying online.

You may pay the deposit or full amount on our website right after sending your booking (DuitNow QR and your receipt). This holds the date while we check the payment and your details; we confirm within 1 working day. If we cannot accept the booking, or the receipt does not match a payment we received, the hold ends and anything you paid is refunded in full within 7 days.

Deposit.

Bookings with crew (Photobooth, Pocket Printing, Video Guestbook and bundles) need a booking deposit, usually RM200 or about 20% as stated in your quotation. Pocket on its own (RM49–RM248) is paid in full when booking.

Purpose of the deposit.

The deposit reserves the date, crew and equipment and covers reasonable preparation. It is part of the total price and is deducted from the balance.

Organisations.

When booking for a company, school, club or association, the person who books and the organisation are both responsible for payment. Internal approvals (treasurer, committee, purchase order) do not change payment dates, and a purchase order or letter of offer is not a payment.

Your details.

Please give us accurate event details: date, venue, operating hours, contact person and chosen services.

4. Payment & outstanding balances

Balance.

The remaining balance must be paid at least 7 calendar days before the event.

Payment confirmation.

Please send proof of payment when asked. A screenshot is not a payment: a payment counts as received only once it is credited in our bank account. An edited or false receipt is fraud; we may cancel the booking, keep the deposit as allowed by section 5, and report it.

Late payment.

If payment is late we will send a written reminder with a new deadline. If the balance is still unpaid 48 hours before the event, we may cancel the booking and section 5 (cancellation by the Client) applies, subject to the law. Crew will not set up while an agreed payment is outstanding.

Event-day payment.

Paying on the event day is only possible with our prior agreement and costs an extra RM100, agreed in advance.

Other charges.

Approved overtime and extra services are paid as agreed, normally on the day.

Charges by use.

Charges based on use (for example extra prints at RM0.50 each) are counted by the booth's print counter and shown to the Client's person-in-charge at the end of the event, who confirms the count on the delivery note or in writing. They are invoiced and due within 3 days of the event.

Unpaid after the event.

Digital files and the online gallery are released once everything owed is paid. If an amount is still unpaid 14 days after its due date, a RM50 admin fee applies for reminders and a letter of demand, and we may claim it through the Consumer Claims Tribunal or the courts.

5. Cancellation by the Client & refunds

How to cancel.

Cancellations must be made in writing (WhatsApp or email). The cancellation date is the day we receive it.

More than 60 days before the event.

The deposit is kept; 100% of any other payments is refunded.

30 to 60 days before the event.

The deposit is kept; 50% of any other payments is refunded.

Less than 30 days before the event.

The deposit and any balance paid are kept, as the date, crew and preparation can rarely be resold this late.

Fair charges.

Any amount kept must be reasonable for the timing, work done and costs that cannot be recovered, and we never charge twice for the same loss. On request we give you a breakdown of what was paid, kept and refunded.

Refund method and time.

Refunds are made by bank transfer only to the same account the payment came from, within 14 working days of the refund amount being confirmed. We never refund to a different or third-party account, and an overpayment is refunded only after the money is confirmed in our bank statement.

The law.

Cancellation charges and refund limits remain subject to Malaysian contract and consumer protection law.

6. Postponement & date changes

Requests.

You may ask to change the event date in writing. Changes depend on our availability and are confirmed only when we accept them in writing.

One free change.

One date change is free when requested at least 30 days before the original date and the new date is within 12 months. Later or further changes cost RM100.

Payments carried over.

Payments already made move to the new date. If the new date also changes the venue, hours or package, the new price is confirmed before going ahead.

No suitable date.

If we cannot take the new date, we can look for another one or treat it as a cancellation under section 5.

7. Event schedule, hours & overtime

Booked hours.

Service hours follow the start and end times in your confirmed booking. We usually arrive 1–2 hours before the start to set up and test.

Venue ready.

The setup area must be accessible and ready when the crew arrives.

Late start.

If the start is delayed by the venue or anything within the Client's control, the original end time stays the same. If we cause a delay, we will make up the lost time or offer a fair remedy.

Overtime.

Extra time must be approved by the Client's person-in-charge on the day and accepted by us (subject to crew and equipment). It is billed per 30 minutes at half the product's hourly rate and paid on the day.

8. Transport, venue charges & access

• Pasir Gudang, MasaiFREE
• Johor Bahru, Ulu Tiram, Kempas, SkudaiRM38
• Iskandar Puteri, Senai, Kulai, Kota TinggiRM65
• Pontian, KluangRM82
• Batu Pahat, MersingRM152
• Muar, Segamat, OtherRM179
• Venues outside these areas are quoted on WhatsApp.

Transport.

Transport depends on the venue area and package and is stated in your quotation. It is included only where the package or quotation says so.

Venue charges.

Vendor entry fees, permits, compulsory parking, loading-bay and other venue charges not in the quotation are paid by the Client.

Loading and access.

Please arrange reasonable vehicle access for loading, and tell us beforehand about stairs, small lifts, long carrying distances or security checks.

Stairs.

Venues without a suitable lift cost RM50 per floor for carrying equipment, agreed before the booking is confirmed. If undisclosed conditions make setup unsafe, we will agree an alternative and any extra cost before continuing.

9. Venue requirements & weather

Power and space.

Please provide a safe, working power point close to the setup area, and enough level, accessible space for the equipment and guests.

Indoor and outdoor.

Indoor or covered locations are preferred. Outdoor setups need a suitable canopy or tent protecting against rain, strong sun and wind.

Unsafe conditions.

We may pause or ask to move the setup if conditions put guests, crew or equipment at risk. If severe weather stops safe operation, we will look for alternatives together; any refund takes into account the service delivered, the cause and the law.

Internet.

Internet-based services need suitable mobile data or Wi-Fi, as described in their product sections.

10. Safety, guests & crew

Care.

We take reasonable care setting up, running and removing our equipment. Please help make sure guests use it properly and children are supervised by an adult.

Crew conduct.

Our crew act professionally and respectfully. We may pause the service if crew face threats, harassment or violence, after telling the person-in-charge and giving a chance to resolve it where possible.

Breaks.

For longer bookings the crew may take short rest or meal breaks, arranged to keep disruption to a minimum and told to you where practical.

11. Equipment damage, loss & misuse

Our equipment.

All equipment we supply stays our property.

Damage by guests.

The Client may be responsible for reasonable repair or replacement costs of equipment damaged through misuse, negligence or deliberate acts by the Client or guests. Normal wear and damage caused by our own negligence are never charged.

Fair charges.

We provide evidence (photos, repair quotes or invoices). Charges reflect the equipment's age and condition, not automatically the full new price, and you may question a charge before paying.

Personal belongings.

We are not responsible for unattended personal belongings at the venue unless the loss is caused by us.

12. Equipment failure & interruptions

Working equipment.

We bring tested, working equipment and fix problems on the spot as quickly as we reasonably can. We may swap in equivalent or better equipment as long as the agreed service continues.

If we cannot fix it.

If a significant failure caused by us cannot be resolved, you are entitled to a fair remedy, including a proportionate refund based on the part of the service affected and the time lost.

Outside causes.

We are not automatically responsible for interruptions caused by venue power cuts, unavailable internet or other conditions outside our reasonable control. Both sides will work to reduce the disruption.

13. Photobooth

What's included.

Camera kiosk, printer and 2 onsite crew.

Unlimited prints.

Unlimited 2R prints during the booked hours. Unlimited means no fixed print quota; it does not guarantee a number of prints per minute or that printing never pauses. Guests may use the booth as often as the queue and time allow.

Extra hours.

RM200 per hour, subject to approval and availability.

Designs.

Photo strip, screen and backdrop must be confirmed by the design deadline (section 18). Printed colours may differ slightly from screens.

Digital photos.

Delivered through an online gallery within 4–7 days after the event.

Online gallery.

Your private gallery link stays open for 30 days from when we send it, with a reminder before it closes. Keeping it open longer is an add-on of RM30 for each extra 30 days, arranged on WhatsApp — the same as a Pocket gallery extension.

14. AtmaLayar Pocket

How it works.

Guests scan a QR code and take or send photos with their own phones in a web browser, with no app. Photos go to the couple's private online album and, where a screen is arranged, may be shown on the event TV.

Guest information.

Guests enter only their name. To run the service we also process their photos and technical information (for example a device code used for print limits), as explained in our Privacy Notice.

Guest numbers.

The guest limit is the number of guests who may use Pocket, not total attendance. If it is exceeded, continued use may need an upgrade to the next step at the price difference, approved by the Client first.

Internet.

Pocket needs working internet on guests' phones. Network congestion, poor coverage or device limits can affect uploads and the screen; we help with service problems but cannot guarantee every phone or network.

Gallery length and deletion.

Every Pocket gallery stays open for 30 days, counted from the event date, and its photos are then deleted. Please download what you want to keep before it closes. Keeping it open longer is an add-on of RM30 for each extra 30 days, arranged on WhatsApp.

Guest content.

Guests must not upload unlawful, abusive, infringing or inappropriate material. We may hide or remove content that appears to break these rules, the law or someone's rights.

Removal and the TV screen.

Guests can choose to keep a photo off the big screen when sending it, and anyone can ask us or the couple to remove a photo of them. Children should only be photographed with a parent or guardian's permission.

Private album.

Please share the album link responsibly. A private link cannot stop people who have it from copying photos.

Guests' rights.

Guests keep the rights in photos they take. They allow us to show them in the event album and on the screen as described here and in our Privacy Notice.

15. Pocket Printing add-on

What's included.

A printer station and 1 crew for 3 hours, printing guests' Pocket photos at the event. Transport within Johor Bahru is included; other areas are quoted first.

Print allowance.

Up to 2 prints per guest, within the booked guest number. This is not the unlimited printing of the Photobooth. Unused prints are not refunded or exchanged for time.

Price.

By guest number as in the Pocket table (RM299–RM799), or RM199 when booked together with a Photobooth.

Extra hours.

RM150 per hour, subject to approval and availability.

Prints and failures.

Printed colours may differ slightly from phone screens. If a failure caused by us significantly reduces printing, a fair remedy or proportionate refund applies (section 12).

16. Video Guestbook

How it works.

Guests record video messages on a tablet recording station. Guests are told their message goes to the couple. Recordings must not be unlawful, threatening, abusive or infringing.

Participation and quality.

We cannot promise how many guests will record. Sound and picture can be affected by venue noise and lighting despite our setup and testing.

Extra hours.

RM100 per hour, subject to approval and availability.

Delivery.

Video messages are delivered digitally within 7 days after the event.

Drop-off: how it works.

We set up before the event and collect within 1 hour after it ends, for up to 6 hours of use. No ATMALAYAR crew stays; the Client names a responsible adult helper to look after the equipment.

Drop-off: care of the equipment.

While unattended by us, the Client takes reasonable care of the equipment against theft, misuse and avoidable damage, and does not move or open it without our approval except to prevent immediate danger. The Client may be charged reasonable, evidenced costs for loss or damage they are responsible for, excluding normal wear. We give remote help where possible; onsite support is not included.

Drop-off: transport and deposit.

Drop-off needs two trips, so the area transport fee is charged for both the set-up and the collection. A refundable equipment deposit of RM200 is paid with the balance and returned within 7 days of collection, less any charge for loss or damage under the term above.

17. Bundles & combined services

What's included.

Bundle hours follow the Photobooth package; Pocket in bundles is up to 150 guests. Each product keeps its own conditions in sections 13–16.

Other combinations.

Any other combination, such as Pocket + Video Guestbook, is priced and confirmed in writing before booking.

Removing a product.

Removing a product from a confirmed bundle re-prices the rest at standalone prices or a new quotation, and may count as a partial cancellation; any charge is explained before approval.

If one part fails.

If one product in a bundle cannot be delivered, any refund is worked out fairly from the affected product and the bundle price.

18. Design approval

Deadline.

Final designs (photo strip, screen, backdrop and other visuals) must be approved at least 7 days before the event, in writing (WhatsApp or email is fine). Please send names, logos, photos and colour preferences in good time.

Late changes.

Changes after approval depend on what is still possible and may cost extra, agreed first. You confirm you have the right to use any logos, photos or artwork you send us.

19. Digital delivery & file storage

Delivery.

Photobooth photos within 4–7 days; Video Guestbook within 7 days; Pocket is live during the event for its gallery period (section 14). Files come by online gallery, download link or another agreed method.

Keep a copy.

Please download and back up your files promptly. We keep Photobooth and Video Guestbook files for 90 days after delivery, then delete them securely; re-sending after that is not guaranteed.

Delays and security.

If delivery is delayed by a technical problem we tell you and give a new date. We take reasonable steps to keep files and personal data secure.

20. Copyright & use of photos

Your photos.

Copyright in commissioned photos follows the Copyright Act 1987 and any express agreement between us. You may download, share and print your event media for personal, family and non-commercial purposes; other commercial use may need separate permission.

Guests and our materials.

Guests keep the rights in photos and videos they create. We keep the rights in our software, branding and templates.

No copying.

Our apps, websites, booth software, designs, templates, layouts, written content and brand names (including ATMALAYAR, AtmaLayar Pocket and Seketika) belong to ATMALAYAR Creative. You may use them only to enjoy our services. Copying, reproducing, reverse engineering, scraping or recreating them, in whole or in part, including with AI tools or screenshots, for any other product or business is not allowed without our written permission.

Our portfolio.

We may feature selected photos or videos in our portfolio and social media where permission and a lawful basis exist. You can opt out by telling us before the event or at any time after; this does not override any guest's own privacy rights, and we act on valid removal requests for material already published.

21. Personal data & privacy

What we collect.

Booking and contact details, guest names, event photos and videos, and technical information needed to run our services, used for booking, delivering the service, communication and gallery management.

Privacy Notice.

Full details, including service providers, storage, retention and your rights, are in our Privacy Notice at atmalayar.com/privacy. We show guests a notice where we collect their name, photos or recordings.

Your rights.

Anyone can ask to access, correct or delete their personal data, or withdraw consent, subject to legal retention duties. Children's data is handled with parent or guardian permission. We handle data incidents and any required notifications as the law requires.

Contact.

Privacy requests: the.atmalayar@gmail.com.

22. Events beyond anyone's control

Force majeure.

Neither side is responsible for failures caused by events genuinely beyond reasonable control, such as serious floods, natural disasters, government restrictions or major infrastructure failure. If essential crew fall seriously ill, we try to arrange a replacement.

What happens.

The affected side tells the other as soon as possible and we look for a postponement or other solution together. If no alternative works, any refund considers what was delivered, recoverable costs and the law; such an event does not let us keep payments for services not delivered.

23. Cancellation by ATMALAYAR

Our commitment.

We do our best to deliver every confirmed booking and will tell you as soon as possible if we cannot.

Your refund.

We may offer an equivalent replacement or a new date with your agreement. If we cancel and the service is not provided through no fault of yours, everything paid for that service, including the deposit, is refunded.

24. Responsibility & limit of liability

Reasonable care.

We provide our services with reasonable care and skill. We are not responsible for losses caused only by the venue, other suppliers or guests we are not legally responsible for.

Limit.

As far as Malaysian law allows, our total liability for ordinary contractual losses on a booking is limited to the amount you paid for it. This limit does not apply where the law forbids it, such as death, personal injury, fraud or our own negligence where exclusion would be unlawful or unfair.

Remedies.

If we fail to deliver an important part of the service, the remedy may be correcting, replacing or completing it, or a reasonable refund. Nothing here removes remedies the law requires.

25. Complaints, law & changes

Complaints.

Tell the onsite crew straight away if something goes wrong, or write to us after the event with your booking details. We review every concern fairly and aim for a practical solution. You can always use the Consumer Claims Tribunal, the courts or other authorities.

Governing law.

These terms are governed by Malaysian law. Subject to consumer rights, disputes may go to the competent courts in Johor.

Changes.

We may update these terms. Confirmed bookings keep the version accepted when booking unless both sides agree otherwise or the law requires a change.
